Part of the process of registering with the CRBS involves ensuring that organisations have the following policies in place.

CRBS do not wish to create work for organisations unnecessarily, therefore if you have these policies in a different form (but cover the appropriate areas) we will accept these.

Detailed below are the areas that it is essential to cover in these policies, in the form of sample policies. Please copy and or adapt these policies if your organisation would find this useful.

There are of course practical and resource implications in adopting these policies in terms of training and support to staff and volunteers. Organisations adopting these policies must understand the implications and ensure that all members of the organisation understand and agree to uphold the policies put in place. CRBS would urge all organisations to give this full consideration.

Policies should always be presented on the organisations headed paper, with the organisation name entered in place of CRBS.

It is an essential part of the registration process that you have all these policies in place, and provide the CRBS with copies.

Please note that organisations working with both Children and Adults at Risk should be aware of the Protection of Children (Scotland) Act 2003 (POCSA) and take this into account when writing their policies. CRBS recommends that organisations working with both children and adults at risk, should maintain separate polices on each. The CRBS have included a separate Adults at Risk Policy and Child Protection Policy on our website.

It is expected that the Protection of Vulnerable Groups (Scotland) Act 2007 will take effect in late 2009/early 2010 and this will have a major impact on organisations working with both children and adults at risk.

Secure Handling, Use, Storage and Destruction of Disclosure Information

To further help organisations, CRBS offers a range of services on the handling and disposal of Disclosure Certificates:

  1. Where an organisation is not able to meet the requirements of the Ministerial Code of Practice with respect to the safe, secure storage and disposal of Disclosure Certificates, CRBS will shred certificates on their behalf.
  2. Where an organisation prefers not to receive Disclosure Certificates because of security issues, CRBS will advise the organisation by phone of the result of the Disclosure and then shred the certificate.
  3. Where assistance is required with understanding the criminal history and other information listed on a Disclosure Certificate, CRBS will assist the organisation in interpreting the Disclosure.

Full details on how to subscribe to these services are provided at the point of confirmation that a Collator/Lead Signatory has been accepted and the organisation is registered. However, a decision to subscribe to the first two services may influence the content of your Policy of Secure Handling, Use, Storage & Destruction of Disclosure Information.
