Written records for workers

A written personal record should be kept for all workers. This may include completed application forms and references, written summaries of support sessions and any steps taken to manage incidents/issues of concern about the conduct of a worker towards children or young people. These records must be managed in accordance with the principles of the Data Protection Act 1998 (see managing and sharing information – module 6).

Being able to track the support you have given to an individual will be helpful if you decide to refer them to the List because the grounds for referral have been met. In the written report (reference) you make to Scottish Ministers you will be expected to show that you have managed a concern in an appropriate manner and that your response to the worker’s behaviour was justifiable and in line with your organisation’s procedures and guidelines.
